AP/Payroll Specialist

Shelter Systems, a leading Truss Manufacturer located  in Westminster  MD,  has a full time opportunity for an experienced accounts payable/ payroll specialist. This role requires a detail oriented individual with knowledge of full cycle accounts payable and payroll reconciliation. While accounts receivables won’t be a main function of the position  a general knowledge of accounts receivable processing is a plus.  This salaried position will work on-site and report directly to the Accounting Manager. 

Key Responsibilities

Payroll Processing

*Process weekly multi state payroll for all employees, ensuring accuracy in gross pay, overtime, and deductions.

*Manage timeclock and verify timesheets, process benefits deductions, tax withholdings, and wage garnishments.

*Manage employee inquiries regarding pay, taxes, and time-tracking discrepancies.

*Make local, state and federal payroll tax deposits

*Pay child support withholdings and garnishments to appropriate agencies.

Accounts Payable (AP)

*Review, code, and process vendor invoices into the accounting system for timely payment.

*Obtain approval for vendor invoices from managers

*Match purchase orders, receiving documents, and invoices prior to approval.

*Reconcile vendor statements, resolve discrepancies, and respond to vendor inquiries.

*Prepare and process electronic payments (ACH, wires) and check runs.

*Manage tax W9s and COIs for vendors

*Monitor office supply levels and reorder as necessary

Accounts Receivable (AR)

*Post and allocate incoming customer payments (checks, credit cards, wire transfers) to appropriate accounts 

*Process credit card payments through an online portal.

*Have general knowledge of AR processes to assist the Accounting Manager when necessary

General Accounting & Compliance

*Ensure all financial transactions comply with GAAP (Generally Accepted Accounting Principles) and company policies.

*Maintain physical and digital files for all financial and payroll records for audit readiness.

*Prepare documents and archive at year end.

Qualifications & Requirements

-Education: Associate’s or Bachelor’s degree in Accounting, Finance, or a related field (or equivalent work experience).

-Experience: 2-5 years of combined experience in bookkeeping, payroll, and AP functions.

-Software Skills: Proficiency with accounting software (e.g., QuickBooks, NetSuite) and payroll systems (Paychex experience preferred but not required). Strong working knowledge of Microsoft Excel.

-Soft Skills: High attention to detail, excellent time-management, strong verbal communication, and the ability to handle confidential information with discretion. 

Drug Screen and Back Ground Check Required.   This is an office based (Westminster Maryland) position.

Salary Range:  $60,000 to $70.000/year based on previous experience.
